WhatsApp automation for clinics
Patients message clinics on WhatsApp because it is faster than calling a busy front desk. Most messages are simple: is the doctor in today, how much is a consultation, where do I park. A few are clinical, and those need a qualified person.
This guide sets the line between the two and shows how to run the administrative side well.
Policy first
If your business is in a regulated category, follow Meta's WhatsApp Business Messaging Policy and Commerce Policy, and keep medical, health and investment claims out of your messages. WhatsApp's Business Messaging Policy restricts health information and financial account details, and lists medical products as a regulated vertical. Your medical council's rules on advertising and patient communication also apply.
Administrative replies
| Patient asks | Automated reply |
|---|---|
| Doctor timings | Consultation days and hours by doctor |
| Consultation fee | Fee and payment methods |
| Location | Address, landmark and map pin |
| Booking | How to book, or the booking link |
| Reports collection | Collection hours and what to bring |

Clinical message acknowledgement
Thank you for your message. We can't give medical advice on WhatsApp. Please book a consultation: {{booking_link}} or call {{clinic_phone}}. In an emergency, contact emergency services or go to the nearest hospital.
Appointments and reminders
Use WhatsApp to answer booking questions and send the booking link; confirm the slot in your clinic's booking or practice management system. Appointment reminders and follow-up visit notices run from that system, many of which can send WhatsApp or SMS reminders through their own integrations. We did not find scheduled reminders in Tadlo's published plans.
The front desk inbox
A shared inbox lets two or three front-desk staff answer from one clinic number, assign chats and see what a colleague already said. Staff should check it several times a day and move anything clinical to a call or consultation.
Patient privacy
- Do not ask for medical history or reports over WhatsApp unless your clinic has a policy for it.
- Collect only what is needed to book.
- Do not include health details in broadcast messages.
- Limit inbox access to staff who need it.
Announcements
Clinic closures, new doctor timings and health camp dates can go to opted-in patients as broadcasts. Describe the service and schedule; never make claims about outcomes or cures. Keep marketing messages infrequent, because patients block clinics that over-message.
Health camps and packages
For check-up packages, a broadcast can list what tests are included and the price. Do not suggest what the package will detect or prevent.
Costs for a clinic
Meta gives each business phone number 1,000 free service messages a month and charges from the 1,001st. Most clinic chats start with the patient, so they are service conversations, and a busy clinic may stay largely within that allowance.
Multi-speciality routing
Ask one question in the first reply, such as which department, and assign the chat to the right desk. Routing by department keeps waiting times down and stops patients repeating themselves.
Measure
Track enquiries handled, booking-link clicks and appointments booked from WhatsApp. If the same question keeps arriving, add it to your automated replies.
