Instagram automation for clinics

By WordBite Solutions Editorial. Updated 16 October 2026.

Clinics of every kind, dental, dermatology, physiotherapy, diagnostics, now get a large share of enquiries through Instagram. Most are administrative: "Are you open Sunday?", "How much is a consultation?", "How do I book?". Those are safe and useful to automate.

Some messages are clinical: symptoms, medications, results. Those must never get an automated answer. This playbook draws that line clearly.

A regulated category

If your business is in a regulated category, follow Meta's WhatsApp Business Messaging Policy and Commerce Policy, and keep medical, health and investment claims out of your messages. Follow your medical council's and local regulator's rules on advertising and patient communication, which may be stricter than platform policies.

Safe to automate

Administrative keywords
KeywordReply
TIMINGSClinic hours and doctor availability by day
BOOKAppointment booking link or how to book
FEESConsultation fee and payment methods
LOCATIONAddress, landmark, parking and map link
INSURANCEWhich insurers or schemes you accept, if any

Never automate

  • Answers about symptoms, diagnoses or treatment.
  • Medication or dosage questions.
  • Interpretation of test results.
  • Claims about outcomes or cures.

A safe acknowledgement for clinical questions

Clinical question reply

Thank you for your message. We can't give medical advice over Instagram. Please book a consultation here: {{booking_link}}, or call {{clinic_phone}}. In an emergency, please contact emergency services or visit the nearest hospital.

Booking and reminders

Send the booking link instantly and confirm appointments through your clinic's booking system. Instagram only lets a business message someone freely for 24 hours after their last message, so reminders days later belong in email, WhatsApp or your booking system, not Instagram DMs. We did not find scheduled reminders in Tadlo's published plans.

Patient privacy

Do not ask for medical history, reports or ID documents in Instagram DMs. Collect only what is needed to book, and handle anything sensitive in your clinic's own systems. Train staff to move clinical conversations off Instagram politely.

Content and claims

  • Educational content is fine; avoid before-and-after claims your regulator restricts.
  • Do not promise results in captions or DMs.
  • Get written consent before sharing any patient image or story.

Front-desk time saved

Administrative messages take front-desk time that patients in the clinic need. Automating timings, fees, location and booking frees staff for in-person care, while the safe acknowledgement makes sure clinical messages are still seen and handled by the right person.

Specialities and doctors

Multi-speciality clinics get questions about which doctor to see. A DOCTORS keyword can send a list of specialities with each doctor's consultation days and a booking link, which routes patients correctly without anyone giving clinical advice.

Health camps and check-up packages

If you run free camps or check-up packages, a CAMP or PACKAGE keyword can share dates, what is included and how to register. Describe what the package contains, not what it will find or prevent.

Measure

Track booking-link clicks and appointments booked from Instagram. If many people ask the same administrative question, add it to your keywords and your profile highlights.

Staff workflow

  1. Automation answers administrative keywords instantly.
  2. Clinical messages get the safe acknowledgement automatically.
  3. Front-desk staff review the inbox several times a day.
  4. Anything clinical is moved to a call or consultation.

Frequently asked questions

Can clinics use Instagram automation?

Yes, for administrative questions such as timings, fees, location and booking. Never for medical advice.

How should a clinic reply to medical questions on Instagram?

With a polite note that you cannot advise over Instagram, a booking link and emergency guidance. Clinical questions belong in a consultation.

Can clinics send appointment reminders on Instagram?

Not reliably, because Instagram limits messages after 24 hours. Use your booking system, SMS, email or WhatsApp with consent.

Can clinics share patient before-and-after photos?

Only with written consent and within your regulator's advertising rules, which often restrict them.

What patient information can I collect in DMs?

Only what you need to book. Keep medical details out of Instagram DMs.
