WhatsApp automation for travel agencies

By WordBite Solutions Editorial. Updated 16 October 2026.

Travellers plan on WhatsApp. They share package screenshots with family, ask about visas and hotel upgrades, and want to confirm everything in writing. An agency that replies in minutes, with a clear itinerary, wins the booking.

This guide covers the enquiry-to-departure journey and where automation helps.

Qualify in the first reply

Package enquiry reply

Hi {{name}}! Thanks for asking about {{destination}}. To send the right options, please share: travel dates, number of adults and children, and your budget per person.
A travel consultant will reply with options shortly.

Consultants share one number

A shared inbox lets several consultants answer from the agency's number, with each enquiry assigned to one person. Customers keep one chat for the whole trip, and nobody loses a booking because a consultant was on leave.

Itineraries and documents

Send itineraries as PDFs with dates, inclusions, exclusions and cancellation terms. Hotel vouchers, tickets and visa checklists can follow in the same chat. Do not ask travellers to send passport scans over chat unless your agency has a secure process for storing them.

Payments

On Tadlo's Pro plan, consultants can send a payment link in chat, and revenue attribution shows which conversations led to payment. Instalment and balance-due reminders run from your booking or CRM system, which knows each traveller's schedule; we did not find scheduled reminders in Tadlo's published plans.

Departure-week messages

Travel updates, such as flight changes, should be sent as utility messages tied to the booking. Your team sends them from the inbox or your booking system sends them through its own integration. In India, Meta charges ₹0.8631 per delivered marketing message and ₹0.115 per utility message, effective 1 October 2026.

Seasonal broadcasts

Summer holiday packages, long-weekend getaways and group departures suit broadcasts to opted-in past travellers. A broadcast that shows its cost before you send helps you decide whether to message the whole list or just past travellers to that region.

Group tours

Group departures bring many questions from many travellers. Create a broadcast list of confirmed group members who opted in, send common updates once, and answer individual questions in the inbox.

Travellers abroad

Meta charges by the recipient's country, so messages to travellers with foreign numbers are billed at that country's rate. Replies inside a conversation they started are service messages. Meta gives each business phone number 1,000 free service messages a month and charges from the 1,001st.

Keep honest

  • Quote prices with dates and what is included.
  • Do not imply visa approval; only the embassy decides.
  • Share refund and cancellation terms before payment.

Emergencies on the road

Give travellers a support number staffed during their trip, and make sure the inbox is checked out of hours during peak travel. Automated replies should point urgent problems to that number.

Measure

Track enquiries, quotes sent, bookings and revenue by source. The share of quotes that become bookings tells you whether your quoting speed and itineraries work.
