WhatsApp automation for gyms and fitness studios

By WordBite Solutions Editorial. Updated 16 October 2026.

Most people who ask about a gym want three things: the price, the timings and a free trial. If they wait until the next morning for an answer, many join somewhere else.

WhatsApp lets a gym answer at 10 pm, book the trial and keep members informed about classes, without the front desk living on the phone.

The enquiry reply

Membership enquiry reply

Hi {{name}}! Our plans: {{plans_link}}. Timings: {{timings}}.
Reply TRIAL to book a free trial session, or CLASSES for this week's schedule.

Trial passes

Trial bookings are the most valuable messages a gym gets. When someone replies TRIAL, a staff member confirms a slot in the inbox and records it in your membership software, so a trainer can greet them by name.

Class schedules

Studios with group classes can send the week's schedule to opted-in members each week as a broadcast, with changes and substitute instructors. Members value it, so engagement stays high and opt-outs low.

Renewals

Renewal reminders should come from your membership software, which knows each member's end date. We did not find scheduled reminders in Tadlo's published plans. When members reply to a renewal reminder with a question, staff answer in the shared inbox, and on Tadlo's Pro plan they can send a payment link in chat.

Challenges and events

Transformation challenges, open days and workshops make good broadcasts to opted-in members and past trial visitors who agreed to hear from you. Keep claims realistic: describe the programme and what members will do, not the results they will get. In India, Meta charges ₹0.8631 per delivered marketing message and ₹0.115 per utility message, effective 1 October 2026.

Health information

Members sometimes share injuries or conditions. Trainers should handle those in person; do not collect medical details over WhatsApp, and do not give medical advice in automated replies.

Lapsed members

A lapsed member who opted in can receive an occasional broadcast, such as a returning-member offer. Send it as a broadcast to that list; we did not find triggered winback automations in Tadlo's published plans.

Corporate memberships

Companies that buy memberships for staff ask about group rates, invoices and attendance. Route a CORPORATE reply to the manager who handles accounts, and send the corporate plan as a PDF. These deals are worth a personal conversation, not an automated price list.

Personal trainers and the inbox

Trainers often message clients from their own phones, and the gym loses the relationship when a trainer leaves. Bringing client chats into the shared inbox, with a seat for each trainer who needs one, keeps history with the gym and lets a colleague cover holidays.

Opt-in

Add a WhatsApp opt-in checkbox to your joining form and trial booking, naming your gym. Meta requires businesses to collect opt-in that clearly states the person is agreeing to receive messages from the business, and names the business.

Measure

Track trial bookings from WhatsApp, trial-to-member conversion and broadcast opt-outs. Conversion from trial to membership is the number to improve first.
