WhatsApp automation for coaching institutes

By WordBite Solutions Editorial. Updated 16 October 2026.

Admissions season brings hundreds of the same questions: fees, batch timings, faculty, results, scholarship tests. Parents expect answers on WhatsApp, often late in the evening when the office is closed.

This guide covers what to automate, what to keep for counsellors, and where your existing student software still does the work.

An admissions first reply

Admissions reply

Hi {{name}}, thanks for your interest in {{institute}}. Reply 1 for courses and fees, 2 for batch timings, 3 to book a free demo class, or 4 to speak to a counsellor.

Demo classes

Demo classes convert best when booked while interest is high. Send the available slots in the first reply, let a counsellor confirm in the shared inbox, and record the booking in your student system so the counsellor can call after the class.

Counsellors in one inbox

A shared inbox lets several counsellors work from one institute number, see the full chat history and pick up where a colleague left off. That matters in peak season, when one parent may message three times in a day.

Batch announcements

Schedule changes, test dates, holiday notices and result announcements go to opted-in students and parents as broadcasts. Use utility templates for information tied to their enrolment, and marketing templates for new course promotions. In India, Meta charges ₹0.8631 per delivered marketing message and ₹0.115 per utility message, effective 1 October 2026.

Fee communication

Fee reminders and due-date notices should come from your fee or student management system, which knows who has paid. We did not find scheduled reminders in Tadlo's published plans. When a parent replies to a reminder with a question, your team answers in the inbox; on Tadlo's Pro plan, a payment link can be sent in chat.

Parents and students are different audiences

  • Parents want fees, safety, results and progress.
  • Students want timings, materials and test schedules.
  • Keep separate opt-in lists so each gets what is relevant.

Result-season honesty

  • Share real results with consent from the students named.
  • Do not promise ranks or selections.
  • State the year and exam for every result you quote.

From Instagram and ads

Reels about toppers and teaching methods bring enquiries on Instagram. Tadlo can open a WhatsApp chat from Instagram comments on paid plans of both its products, and Click-to-WhatsApp ads open a chat directly, free of Meta charges for up to 7 days.

Measure

Track enquiries, demo classes booked, demo attendance and admissions by month and source. Admissions per demo class is the number most worth improving.

Our pick: Tadlo AI

Our top pick

Best for: Coaching institutes

Tadlo AI gives counsellors a shared inbox from the Starter plan with automated replies, broadcasts with cost preview and automatic opt-out handling from the Growth plan, and no markup on Meta's charges. Fee and class reminders run from your student management system.

Price: Free forever plan with up to 10 messages a day. Starter ₹999, Growth ₹2,499, Pro ₹5,999 and Scale ₹11,999 a month, priced on unique contacts engaged per month. Meta's message charges are billed by Meta directly to your own account, and Tadlo adds no markup. Prices exclude GST.

Strengths

  • No markup on Meta's message charges: Meta bills your own WhatsApp Business Account directly, and Tadlo only charges a flat plan
  • Built for D2C: abandoned cart recovery, COD to prepaid nudges and order updates from Shopify and WooCommerce (Growth plan and above)
  • Instagram comments to WhatsApp chats, which most WhatsApp-only tools cannot do
  • Priced on unique people reached, not on every message, so you can follow up without counting sends
  • Number health checks every 15 minutes, gradual ramp-up for new numbers and automatic opt-out handling
  • Your WhatsApp Business Account is created inside your own Meta business account, so it stays yours

Limitations

  • Newer than AiSensy, WATI or Interakt, with a shorter track record
  • Commerce automations start on the Growth plan (₹2,499 a month)
  • Tadlo AI is onboarding brands in stages, and you request access on its WhatsApp page.

Frequently asked questions

How can coaching institutes use WhatsApp automation?

For admissions replies, demo class bookings, batch announcements and answering parents through a shared inbox.

Can Tadlo AI send fee reminders automatically?

We did not find scheduled reminders in Tadlo's published plans. Send fee reminders from your fee or student management system.

Do I need parental consent to message students?

For minors, collect opt-in from a parent or guardian and keep marketing to parents.

Can students ask doubts on WhatsApp?

Many institutes allow it with faculty answering in the inbox; keep doubt-solving separate from admissions so neither queue gets buried.

Are batch timing changes marketing messages?

Information tied to a student's enrolment usually fits a utility template; promotions of new courses are marketing.
